About the job

Based at the San Clemente Palace within the Sales & Marketing Department in Venice, the Sales & Marketing Coordinator supports the strategic and operational goals of the Sales & Marketing department by providing administrative and coordination support, ensuring the smooth execution of all sales and marketing activities. This role acts as a key liaison between internal departments and external stakeholders, contributes to the organization of marketing initiatives, and maintains accurate documentation and reporting to optimize performance and client satisfaction. The Sales & Marketing Coordinator reports directly to the Director of Commercial Strategy and works closely with the Sales, Revenue, Events, and Marketing teams.

As Sales & Marketing Coordinator, you will responsible for the following duties:

  • Provide daily support to the Sales & Marketing team in the execution of campaigns, events, proposals, and other commercial activities.
  • Coordinate internal and external meetings, sales trips, and client entertainment logistics.
  • Prepare sales presentations, proposals, contracts, and reporting documents as required.
  • Ensure accurate and timely entry of sales activities, client interactions, and account details into the CRM system.
  • Support the organization and execution of familiarisation trips, site inspections, and hotel show-rounds.
  • Assist in the coordination of hotel participation in tradeshows, roadshows, and industry events.
  • Collaborate with the Marketing team to ensure alignment of materials, digital content, and promotional collateral.
  • Maintain updated client databases and assist in segmentation, targeting, and communication strategies.
  • Track and monitor competitor activities and provide regular reporting to the Sales team.
  • Liaise with the Revenue, Events, and Operations teams to ensure alignment on group offers, proposals, and operational feasibility.
  • Distribute leads across Mandarin Oriental properties when appropriate and support cross-property collaboration.
  • Attend weekly team meetings and contribute to the preparation of monthly performance reports.
  • Perform any other reasonable tasks or projects as directed by the Director of Commercial Strategy or Sales Managers.

As Sales & Marketing Coordinator we expect from you: 

  • Previous experience in a similar administrative or coordination role within the hospitality or luxury service industry.
  • Excellent organizational and time management skills, with strong attention to detail.
  • Proficiency in Microsoft Office Suite and familiarity with CRM systems (Delphi, Opera, or similar tools).
  • Strong written and verbal communication skills in Italian and English; other languages are a plus.
  • A proactive, service-oriented mindset and a collaborative approach to team support.
  • Confidence in handling confidential information and managing multiple priorities simultaneously.
  • A passion for hospitality, branding, and guest experience.
  • Degree or diploma in Hospitality, Marketing, Business, or a related field preferred.
