About the job
Based at the Mandarin Oriental Canouan / within the Front Office Department in Canouan, the Front Office Agent is responsible for creating a warm, welcoming, and seamless experience for all guests throughout their stay. This role requires strong communication, professional presentation, attention to detail, and the ability to anticipate guest needs while upholding the standards and values of Mandarin Oriental. The Front Office Agent reports to the Front Office Manager.
As Front Office Agent, you will be responsible for the following duties:
Guest Services & Experience
Provide professional, courteous, and genuine service to all guests and external callers.
Ensure a seamless check-in and check-out experience including preparing for arrivals, managing walk-ins, groups, and late departures.
Handle guest inquiries, concerns, and feedback with courtesy and efficiency; escalate to the Duty Manager as needed.
Anticipate guest needs to delight and exceed expectations.
Offer accurate information regarding hotel facilities, services, events, promotions, and local activities.
Conduct property or room tours for potential guests as required.
Front Office Operations
Perform registration, reservation, cashiering, and billing procedures accurately using Opera PMS.
Maintain knowledge of room types, amenities, rates, packages, promotions, and availability.
Promote and upsell room categories, dining experiences, and resort offerings.
Manage guest requests and communicate effectively with other departments (Housekeeping, Guest Services, Transportation, etc.).
Process calls, messages, wake-up calls, restaurant/spa reservations, and transportation arrangements.
Secure guest valuables and follow proper lost & found procedures.
Financial & Administrative Duties
Maintain a personal cash float, ensuring accurate transactions and reporting.
Run and review credit limit reports, prepare Method of Payment (MOP) letters when needed.
Assist with preparing reports, memos, and correspondence as required.
Attend departmental handover briefings and maintain awareness of daily events and group requirements.
Standards, Compliance & Presentation
Adhere to hotel policies as outlined in the Staff Handbook.
Follow all FLHSS (Fire, Life, Health, Safety & Security) and emergency procedures.
Maintain a clean, organized, and well-stocked front desk area.
Present a polished and professional image at all times in accordance with grooming standards.
Work flexible shifts as the Front Office operates 24 hours, including evenings, weekends, and overnights as business demands.
As Front Office Agent we expect from you:
Previous Front Office or hospitality experience preferred (luxury environment an advantage).
Strong communication and guest-relations skills.
Proficiency in Opera PMS or the ability to learn quickly.
Excellent organizational and time-management abilities.
Ability to remain professional, calm, and composed in a fast-paced environment.
