Scope of Position:

The Director of Purchasing will supervise the full purchasing, procurement and receiving, department. He will engage in supervision of all aspects of FHLS&S and conduct vendor audits of all food supplies.

 

Responsibilities:

  • Maintaining a good relationship with all departments and Corporate Purchasing.
  • Supervise, train, and motivate Purchasing department colleagues and thoroughly understand all their duties and responsibilities.
  • Ensure that the department collaborates closely with the Executive Chef, and the ExCom Members to purchase the highest quality products while constantly searching for the lowest price.
  • Ensure that all purchase order requests are properly completed and approved before the items are purchased.
  • Development and enhancement of purchasing and cost control policies and procedures
  • Ensure that all items received by the hotel are properly documented in accordance with the company’s purchasing and receiving procedures.
  • Negotiate cost effective purchases for all supplies and services, while meeting all MO - Al Faisaliah Hotel guidelines and quality specifications.
  • Negotiate cost effective purchases for all Capex and FF&E items, while meeting all MO - Al Faisaliah Hotel guidelines and quality specifications.
  • Contract management
  • Generate purchase orders on approval requisitions and obtain necessary authorization from the Director of Finance and General Manager prior to processing these orders.
  • Obtain competitive price quotations and confirm purchase availabilities
  • Provide the Controller with a monthly summary of outstanding purchasing reports
  • Establish a purchasing reporting package and database of supplier information
  • Ensure that there are sufficient supplies on hand for on all inventoried items for each department by coordinating regular inventories with Stores.
  • Ensure that all storage areas are secure, clean, organized and in line with the MO - Al Faisaliah Hotel health and safety requirements
  • Assist Accounts Payable in researching any discrepancies on invoices.
  • Establish and maintain par stocks on all inventoried items, keeping in mind that inventory levels must be kept as low as possible without compromising the efficiency of the hotel.
  • Take appropriate personnel related action with purchasing, receiving, and cost control colleagues as required
  • Conduct daily briefings & regular meetings with purchasing, receiving, and cost control colleagues
  • Prepare and post colleagues schedule in accordance with business needs
  • Conduct regular quality control audits to ensure colleagues are training and performing their duties following established procedures.
  • Manages, oversees, and controls the month-end inventories.
  • Conduct food supplier premise checks with the Executive Chef before registering the supplier as a vendor to ensure supplier is compliant with HACCP & FHLSS standards.
  • Conduct surprise audits in receiving and storage areas to ensure that HACCP & FHLSS standards are being maintained by colleagues.
  • Prepare any reports as requested by management
  • To perform any other duties that may be assigned from time to time by management.

  • Good written and verbal communication skills in English
  • Ability to process information and merchandise through computer system 
  • Ability to move and manage merchandise throughout the Hotel
  • The Director of Purchasing will supervise the purchasing and store team and is responsible for the required colleague acquisition, training, development, and assessment of the team.
  • Responsible for setting up and managing the storage and inventory systems of all F&B and non-food store items, as well as transfers, store requests and store policies.

 

Sustainable Responsibilities:

  • This role involves implementing eco-friendly practices, educating guests/colleagues on sustainable initiatives, and continuously seeking ways to minimize the hotel's environmental footprint.
  • Knowledge of waste sorting and recycling procedures. Energy Conservation: Water Conservation.
  • Supporting sustainability initiative.

 

Requirements:

  • Hospitality experience with a 5-star hotel.
  • Experience in purchasing & materials for more than 4 years.
  • Strong communication skills in both languages. (Arabic & English).
  • Strong leadership skills.
