Some of the luxury treatments on offer include the signature Oriental Essence, Thai, Aromatherapy, Deep Tissue, Aromatherapy, and Mandarin Oriental facial therapies.

About the job

Based at the Mandarin Oriental Sanya within the Security Department in Sanya, the Security Secretary is responsible for providing comprehensive administrative and operational support to the Director of Security and the Security Department. The position ensures efficient document control, reporting, communication, training coordination, compliance administration and departmental record management in accordance with hotel standards, company policies and local regulations.

As Security Secretary, you will be responsible for the following duties:

  • Provide administrative support to the Director of Security and Security Management Team.
  • Organize departmental meetings, prepare meeting agendas and record minutes.
  • Follow up on departmental action plans and management instructions.
  • Prepare notices, memorandums, reports, presentations and correspondence.
  • Maintain departmental filing systems and document archives.
  • Manage office supplies and administrative inventory
  • Maintain and update departmental policies, procedures and emergency response plans.
  • Ensure all security records are properly filed and archived.
  • Manage confidential documents, investigation reports and incident records.
  • Track the validity and renewal of licenses, certifications and permits.
  • Support internal audits, corporate audits and government inspections.
  • Compile daily occurrence reports and incident statistics.
  • Maintain records of lost and found, accidents, guest incidents and fire alarms.
  • Prepare weekly, monthly and annual reports.
  • Generate departmental KPI reports and data analysis.
  • Ensure the accuracy, integrity and confidentiality of security data.
  • Coordinate departmental training plans and schedules.
  • Maintain training records and certification files.
  • Assist in organizing fire drills and emergency exercises.
  • Monitor completion of mandatory training requirements.
  • Support onboarding orientation for new colleagues
  • Verify attendance records and leave applications.
  • Assist in roster administration and manpower tracking.
  • Prepare monthly attendance reports.

As Security Secretary, we expect from you: 

  • Diploma or above.
  • Business Administration, Hospitality Management or Security Management preferred.
  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
  • Strong communication and coordination skills.
