About the job
Based at the Mandarin Oriental, Tokyo / within the Wedding Sales, Wedding Sales Manager is responsible for effectively assisting the Wedding Senior Sales Manager in general administration and executing function coordination of all confirmed social functions in a most professional and effective manner.
The Wedding Sales Manager reports to Director of Weddings.
As Wedding Sales Manager, you will be responsible for the following duties:
- Seek and development of new potential accounts through:
Professional response for any inquiries by telephone.
Individual guests inquiries.
Any visitors at Hotel.
Inquiry from Hotel Internet Sight.
Wedding Agents.
6 new guest’s appointment monthly.
To confirm 25 Wedding Ceremonies annually.
To be in charge of 25 Weddings annually.
Plan (Support) Wedding Fair when necessary.
Conduct meetings for the Fair.
Ensure to coordinate the Fair.
Review each Wedding Fair.
Make a report of the result of the Fair.
- Make follow up plan for the Fair.
- To assist Wedding Senior Sales Manager in preparing daily/weekly and monthly Wedding reports as and when necessary.
- To attend daily morning briefing and weekly Wedding Sales Meeting.
- Attends daily morning Sales Briefing, weekly Wedding Sales Meeting and weekly Wedding Resume meeting.
- To perform all duties and responsibilities in a timely and efficient manner in accordance with established Mandarin Oriental policies and practices (MO Pillars and LQE) to achieve the overall objectives of the position.
- Maintains a detailed knowledge of hotel facilities, features and services.
- Entertains and conducts hotel inspections to clients whenever required.
- Establishes and maintains strong relationship with the established clientele and constantly explore into new business opportunities.
- Actively conduct site inspection for potential guests and attend to walk-ins as assigned.
- To assist Wedding Senior Sales Manager in coordinating and servicing all tentative and confirmed functions.
- To assist Wedding Senior Sales Manager in answering telephone inquiries, preparing banquet event orders, proposals, menus and all general administration work.
- To assist with incoming telephone calls within the department.
- Competent with providing clients with hassle-free experience.
- Maintains the highest standards of professionalism, ethics and attitude toward all hotel guests, clients and associates.
- Maintains professional business confidentiality.
- Performs related duties and special projects as assigned.
- Responsible for recording and maintaining accurate event & guests’ history.
- Maintains the highest standard in grooming.
- To ensure the cleanliness of work place and it’s surrounding area.
- To execute all duties as per duty roster drawn.
- To attend and contributes to all Meetings as required.
- Exercises responsible behaviour at all times and positively representing the Hotel management team and Mandarin Hotel Group.
- Handles guest and employee enquiries in a courteous and efficient manner, reporting complaints or problems. If no immediate solution can be found, whilst feeding back a prompt follow up.
- To respond to all local enquiries within 6 hours and overseas enquiries within 24 hours. Effective follow-ups are to be conducted for such enquiries.
- To ensure that an effective and accurate filing system, both manuals as well as electronic, is maintained at all times.
- To ensure that all data input into the BV Manager system is accurate.
- Traces on bookings are logged in to BV Manager daily and ensures that traces are acted upon timely and thoroughly.
- To establish an efficient trace File to ensure that all business booked is properly tracked.
- To manage Wedding reception desk and organize all appointments.
- Maintains all client and event files according to the standards required.
