About the job
Based at Mandarin Oriental Punta Negra, Mallorca, as the Sales Coordinator, you will be responsible for managing bedroom bookings, ensuring smooth interdepartmental coordination, and focusing on guest satisfaction to drive repeat stays. You will adhere to sales policies, maximize revenue, follow billing procedures, and foster strong client relationships while assisting the Sales Team with administrative tasks to support sales operations.
As Sales Coordinator, you will be responsible for the following duties:
To receive handover from Sales Department once booking is confirmed to coordinate group program with relevant hotel departments.
To coordinate booking requirements while in-house and upsell additional services to ensure MOHG service levels.
To ensure all necessary information is obtained prior to guest arrival.
To enter rooming lists and monitor group reservations made via online booking codes.
To work closely with Reservations for direct call-in bookings.
To book outside sources requested by clients, within reason.
To liaise with F&B and Reservations to ensure smooth coordination.
To prepare VIP Booking arrival and Group Resume, forwarding to departments at least one week prior.
To review group arrival and accommodation details with Front Office and operations 72 hours before arrival.
To meet and assist clients, travel agencies, and other partners.
To attend BEO meetings, presenting confirmed groups and revised BEOs.
To maintain an up-to-date filing system for booking enquiries and release space when needed.
To handle site inspections, fam-trips, and client meetings with the Sales Team.
To help quote and convert group and individual bookings as needed.
To maintain knowledge of hotel rates, room types, and competition.
To maximize upselling opportunities for room rates and additional services.
As Sales Coordinator, we expect from you:
Experience and education
Bachelor’s degree in hospitality management, business administration, or a related field.
Certification or training in Sales & Marketing or Hotel Management is highly valued.
One-year previous experience in a sales coordination or hotel operations role, preferably in the hospitality industry.
Experience with group bookings, reservations, and managing client relationships is highly valued.
Technical Skills
Familiarity with hotel property management systems (PMS) and booking platforms.
Experience in coordinating with multiple departments such as F&B, Reservations, and Front Office.
Proficiency in Hotel Property Management Systems (PMS) like Opera, Fidelio, or similar software.
Strong knowledge of Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
Familiarity with online booking platforms and reservation systems.
Experience with Customer Relationship Management (CRM) tools for managing client interactions.
Ability to create and manage reports, spreadsheets, and presentations.
Basic understanding of revenue management systems and sales reporting tools.
Ability to use event management software for group booking coordination (e.g., Delphi, Cvent).
Strong background in customer service, sales, and administration support.
