About the Role

The Reservations Manager is responsible for leading all aspects of the Reservations function, ensuring exceptional service delivery whilst maximising revenue opportunities and operational efficiency.

This role oversees the daily operations of the Reservations team, ensuring all guest enquiries and bookings are handled with accuracy, professionalism, and care. The successful candidate will play a key role in inventory management, forecasting, distribution strategy, and team development, whilst working closely with Revenue Management and hotel operations to support the commercial success of Mandarin Oriental, Rome.

Key Responsibilities

As Reservations Manager, you will be responsible for:

  • Leading the day-to-day operations of the Reservations department, ensuring all enquiries and bookings are handled promptly, accurately, and professionally.
  • Monitoring room inventory, occupancy levels, rate structures, and availability to maximise revenue opportunities through effective inventory management.
  • Ensuring all reservations are processed accurately and entered into hotel systems in a timely manner.
  • Managing individual, corporate, leisure, and group reservations in accordance with Mandarin Oriental standards.
  • Working closely with Revenue Management to optimise room yield and support the achievement of revenue targets.
  • Monitoring reservation performance through the preparation and analysis of daily, weekly, and monthly reports, forecasts, and market trends.
  • Maintaining the accuracy of rate codes, inventory controls, and distribution channels across all reservation systems.
  • Ensuring special guest requests, VIP arrangements, billing instructions, and group requirements are communicated effectively across the hotel.
  • Identifying opportunities to improve conversion, operational efficiency, guest satisfaction, and overall commercial performance.
  • Supporting the promotion of hotel packages, experiences, and services to maximise booking opportunities.
  • Collaborating closely with Sales, Front Office, Housekeeping, Concierge, and other operational departments to ensure a seamless guest journey.
  • Ensuring all reservation documentation, contracts, records, and guest information are maintained accurately and confidentially.
  • Driving service excellence and ensuring all reservations activities align with Mandarin Oriental's luxury service standards.
  • Leading, coaching, and developing the Reservations team to foster a high-performance culture and support future talent development.
  • Supporting departmental succession planning, learning initiatives, and career development programmes.

What We Are Looking For

As Reservations Manager, we expect from you:

  • Previous experience in a Reservations Manager, Assistant Reservations Manager, Revenue Management, or Rooms Division leadership role within a luxury hospitality environment.
  • Strong knowledge of reservation systems, property management systems, distribution channels, and revenue management principles.
  • Excellent understanding of inventory management, forecasting, reporting, and revenue optimisation strategies.
  • Proven leadership skills with the ability to motivate, develop, and inspire high-performing teams.
  • Strong analytical and commercial acumen with a results-driven mindset.
  • Exceptional attention to detail and accuracy.
  • Excellent communication and interpersonal skills with the ability to build effective relationships across departments.
  • A proactive approach to problem solving and continuous improvement.
  • Strong organisational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Fluency in English and Italian is essential.
  • A genuine passion for luxury hospitality and delivering exceptional guest experiences.
