About the job
The Purchasing Manager is responsible for overseeing the day-to-day procurement activities of the hotel, ensuring the timely and cost-effective sourcing of goods and services while maintaining Mandarin Oriental quality standards. Reporting to the Director of Finance, this role plays an important part in supporting the operational and financial success of Mandarin Oriental, Rome through effective supplier management, inventory control and purchasing best practices.
As Purchasing Manager, you will be responsible for the following duties:
- Manage the day-to-day purchasing activities of the hotel, ensuring efficiency, accuracy and compliance with company policies and procedures.
- Source goods and services in accordance with operational requirements, quality standards and approved budgets.
- Develop and maintain strong relationships with local and international suppliers to ensure service excellence, competitive pricing and reliable delivery.
- Obtain competitive quotations and support contract negotiations to maximise value and cost effectiveness.
- Monitor supplier performance and work proactively to identify opportunities for service improvements and cost savings.
- Oversee inventory and stock control processes, maintaining appropriate stock levels while minimising waste and loss.
- Ensure all purchasing documentation, records and approvals are completed accurately and in line with internal control requirements.
- Collaborate closely with Restaurants, Bars & Experience, Rooms Division, Engineering and Finance teams to support daily operational needs.
- Support the implementation and continuous improvement of purchasing systems, procedures and controls.
- Monitor procurement expenditure and prepare regular reports on purchasing activity, supplier performance and cost-saving initiatives.
- Supervise and develop members of the Purchasing team, providing guidance, training and support to ensure high performance.
- Promote sustainable and responsible sourcing practices in line with Mandarin Oriental's environmental and social commitments.
- Contribute to the successful opening and ongoing operation of one of Rome's most anticipated luxury hospitality destinations.
As Purchasing Manager, we expect from you:
- A minimum of 4-5 years of experience in purchasing, procurement or supply chain management within luxury hospitality or a related industry.
- Previous experience in a purchasing supervisory or management position within a hotel environment.
- Strong commercial awareness with experience in supplier management, cost control, purchasing processes and contract administration.
- Demonstrated ability to manage multiple priorities in a fast-paced operational environment.
- Excellent negotiation, organisational and relationship-building skills.
- Strong analytical skills with the ability to review purchasing data, identify trends and support informed decision-making.
- Experience working with procurement systems, inventory management and hotel purchasing procedures.
- Proven ability to supervise, coach and develop colleagues while fostering a collaborative team environment.
- Excellent communication skills with the ability to build effective relationships across departments.
- Strong command of written and spoken English and Italian.
- High levels of integrity, professionalism and attention to detail.
