Mandarin Oriental, Costa Navarino

Located on the southwest coast of the Peloponnese, one of the most unspoiled and breath-taking landscapes in the Mediterranean, and 45 minutes’ drive from Kalamata International Airport.

The beachfront resort is part of the sustainable resort destination of Costa Navarino, a well-established tourism destination which includes 3 other resorts. It comprises of 99 suites and villas, all with outdoor terraces and sea views, along with seven restaurants and bars.

Scope of Position:

The Purchasing Manager supervises and assists the Storeroom and Receiving Clerks, making sure all standard procedures are followed. The Purchasing Manager also engages in the supervision of all aspects of FHLSS&E, conducts vendor audits of all food supplies, negotiates with vendors and creates a weekly report to ensure appropriate purchasing.

Duties & Responsibilities:

  • Prepares, analyzes proposals and determines appropriate selections of suppliers based on the Mandarin Oriental standards and expectations.
  • Complies and ensures the team’s compliance with the Mandarin Oriental standards.
  • Negotiates cost effective purchases for all supplies and services, while meeting all Mandarin Oriental guidelines and quality specifications.
  • Examines and reviews proposed products and services to determine compliance with departmental specifications or standards, and suggests substitute items when beneficial.
  • Analyzes market conditions in relation to recent, current and anticipated purchases.
  • Reviews vendor/contractor history to determine that they are capable of producing the goods and services required.
  • Reviews the requests and specifications recommended by department heads to determine whether quality level described is appropriate for intended use and whether specifications are cost effective.
  • Standardizes items in common use to eliminate unnecessary variations/features and lower costs through bulk purchasing.
  • Analyzes trade journals, catalogues, directories and other technical material with respect to market and price conditions.
  • Initiates and implements research of new products and technologies to reduce procurement costs and to improve the quality of goods and services purchased.
  • Conducts monthly/quarterly inventories.
  • Reviews stock inventory levels and purchase patterns to maximize inventory value.
  • Prepares necessary purchasing documents in accordance with procurement requirements.
  • Checks and approves purchase orders prior to review by Director of Finance and General Manager.
  • Maintains library of resource materials.
  • Prepares/Updates all records, logbooks, journals, involving purchasing and receiving standards and procedures.
  • Establishes quality control and receiving standards.
  • Provides accounting staff with required approved documentation, so that procurement of materials and services may be placed, shipped, and paid in a timely fashion.
  • Develops specific departmental goals and plans.
  • Communicates departmental status to Director of Finance on a determined periodical basis.
  • Promotes and maintains effective communication and interactions with all departments.
  • Prepares and distributes all departmental reports.
  • Carries out any other reasonable as assigned by the Director of Finance.

Qualifications / Experience:

  • Greek citizenship is mandatory.
  • Degree in Supply Chain or Purchasing/ Logistics will be considered as a plus.
  • Prior purchasing experience in a hotel/resort will be considered as a plus.
  • Knowledge of HACCP standards.
  • Advanced computer skills are mandatory, especially in Excel.
  • Proficiency in systems such as will be considered as a plus.
  • Fluency in English and Greek.
