About the job
Based at Mandarin Oriental Punta Negra, Mallorca, the Payroll Executive plays a key role within the People & Culture team, ensuring a seamless and accurate employee lifecycle experience.
This position is responsible not only for the precise and timely processing of payroll, but also for the comprehensive administration of colleague documentation, personnel files, and P&C records. Acting as a trusted point of contact, the role supports colleagues with payroll and administrative queries while ensuring full compliance with labor legislation, internal policies, and Mandarin Oriental standards.
As Payroll Executive, you will be responsible for the following duties:
- Ensure the accurate collection, validation, and maintenance of worked hours, absences, vacation balances, and contractual data for all colleagues.
- Support the end-to-end payroll process, ensuring salaries, overtime, bonuses, and allowances are processed accurately and on time.
- Manage and maintain complete and up-to-date personnel files, contracts, payroll records, and mandatory documentation in compliance with legal and company requirements.
- Act as a key point of contact for colleagues, providing clear guidance on payroll, contracts, benefits, deductions, and administrative matters.
- Ensure payroll and people administration data is correctly entered into P&C and payroll systems, maintaining high standards of accuracy and confidentiality.
- Prepare and support payroll and P&C administrative reports, including labor costs, headcount data, and statutory documentation.
- Collaborate closely with the People & Culture team to resolve discrepancies, improve processes, and ensure operational excellence.
- Support internal and external audits, ensuring compliance with local labor legislation, tax regulations, and Mandarin Oriental policies.
As Payroll Executive, we expect from you:
Experience and education:
- Bachelor’s degree in business administration (ADE), Labor Relations (RRLL), Human Resources, Accounting, Finance, or a related field is required.
- Additional training or certifications in Payroll Management, Labor Law, or Social Security will be considered a strong asset.
- 1 to 3 years of professional experience in payroll processing, people administration, or HR administrative roles, preferably within hospitality or service-oriented environments.
- Previous experience working with payroll systems and HR management software (e.g., SAP, ADP, Factorial or similar platforms).
- Solid understanding of Spanish labour legislation, payroll concepts, tax withholdings, and employee benefits.
Technical skills:
- High proficiency in payroll and P&C systems, ensuring accurate data management and timely processing.
- Advanced working knowledge of Microsoft Excel for calculations, data validation, and reporting; solid command of Word and PowerPoint.
- Exceptional attention to detail, with the ability to manage sensitive data with accuracy and confidentiality.
- Strong administrative and organizational skills, capable of handling multiple priorities in a fast-paced environment.
- Clear and professional communication skills, enabling effective interaction with colleagues regarding payroll and administrative matters.

- Self-driven team player with excellent interpersonal skills and a collaborative mindset.

Fluency in Spanish and English (written and spoken); Catalan is a strong plus.
