Purpose of Position

  • This position is responsible for preparing MOTYO financial reports, supervise month end closing, maintain fixed assets register, and other Finance and Accounting relevant tasks assigned by the Assistant Director of Finance.

Positions reporting directly to the incumbent:

Principal Accountabilities

  •  Ensure financial statement and related accounting reports are prepared on timely basis and fixed assets register are recorded on the timely basis.

Standard Tasks

  • Assists the Assistant Financial Controller in performance of his/her duties and responsibilities.
  • Supervises, coordinates and participates in the activities of the finance department.
  • Responsible for preparing the hotel-originated journal entries (e.g. accruals) at the end of the month.
  • Assist in providing supporting documents to Finance Shared Services/Cap Gemini (FSS-CG) for their month-end journals when necessary.
  • Prepares accrual summary at the end of the month.
  • Assist the ADoF in ensuring that all subsidiary accounts balance is in agreement with General Ledger control accounts and trail balance are tally.
  • Assist the ADoF in preparing monthly financial statements and ensures that the 1st draft monthly financial statements are ready for review by 3rd or 4th day of the month.
  • Prepare month end analysis financial statements and supporting schedules.  
  • Check and submit to FSS-CG invoices submitted by other departments for “Non-PO Invoice Payment” processing. This includes ensuring that COA codes are correct.
  • Check payments prepared by the FSS-CG Accounts Payable.
  • Assist in the preparation of the full year forecast and annual budget.
  • Maintain fixed assets register and update fixed assets purchased by the hotel on monthly basis.
  • Maintain book of accounts in accordance with MOHG accounting policies and standards.
  • Assist in checking the Balance Sheet reconciliation prepared by FSS-CG, ensuring accuracy and proper presentation.
  • Compute monthly management fees and quarterly incentive fees payable to MOHG Group.
  • Assist subordinates to solve any problems arising within the daily operations.
  • Perform special investigations / projects when discrepancies and inconsistencies arise that affects Accounting and Financial records of the hotel as per instruction given by Financial Controller or Assistant.

Information Security

  • Identify and regularly review the classification levels of all your information with your department.
  • Ensure that the information and information security equipment assets under your control are secured as effectively as practically possible to ensure the confidentiality, integrity and availability of the information assets.
  • Authorize user access to information under your control and remove access when it is no longer required.
  • Communicate access control requirements to Information Security management and the information users.
  • Monitor Information Policy compliance within your scope of authority.
  • Detect and report Information Security incidents to the Information Security Officer and respond to any incidents that are reported.
  • Safeguard the security of the company's information and computing assets and comply with the implemented Information Security Policy and all practices and supporting procedures designed in accordance with the policy.
  • Ensure accountability for your actions and recognize that any unauthorized deviation from the information security policy may result in disciplinary action including termination of employment and prosecution under the applicable Japanese law
