To provide support for a smooth and efficient operation of Colleague Services in relation to cafeteria and accommodation; thus, directly impacting on providing support for Colleagues.
Responsibilities
Manage the Accommodation tracker and Accommodation Daily Updates and update any changes that concern the Colleagues (i.e. incoming Colleagues, leavers, internal transfers, title change, live outs, live ins etc.)
Coordinate with service supplier on a weekly basis that all accommodation trackers are updated to ensure accurate invoicing
Review the monthly man-days and confirms with Colleague Services Manager
Receive Statement Forms regarding accommodation related requests or complaints and creates accommodation online tasks
Manage the accommodation online tasks and monitors completion of any Statement Forms or Service Request Forms.
Prepare rooms as per expected arrival schedules and/or conducts room check as per departure schedule, any raised accommodation-related Statement Forms and ensure complete documentation of all completed tasks
Coordinate with service provider (i.e. Engineering) for any operational concerns of accommodation (as per spot checks and/or any concerns raised)
Ensure complete documentation of all completed tasks
Ensure proper documentation of all completed Statement Forms or Service Request Forms
Filing of personnel files of Colleagues living in the hotel provided accommodation (i.e. Room Inventory list, Accommodation guidelines)
Monitor Cafeteria Spot checklist on a daily basis and follow up with Engineering (or any other department) as necessary to resolve any raised issues
Ensure HACCP standards are consistently being implemented through random checks in cafeteria
Liaise and follow up with cafeteria service provider for any operational concerns of the cafeteria
Conduct site induction for cafeteria service provider staff assigned in the hotel.
Monitor all cafeteria equipment are in good working order at all times; coordinate with Engineering as necessary
Assist Human Resources with design and implementation of cafeteria themed lunches
Assist with any issuance of meal vouchers and ensure accurate remittance
Manage Colleague Services files to ensure all information is up to date
Perform any other administrative duties to ensure proper and complete documentation
Assist the Colleague Services Manager in preparing and/or updating/revising all Colleague Services related policies, SOPs, forms and processes
Handling and responding/processing incoming calls and correspondence
Drafting letters, e-mails and standard reports and presentations many of which will be based on standard templates
Assist with any requirement to organize meetings, briefings and/or department internal events including invitations and room bookings
Assist with taking and distributing meeting minutes
Handle any filing required and ensure the necessary documents and records are updated and filed correctly
Keep the relevant stationery stock for the department and handling stationery requisitions as required
Update any regular trackers, excel sheets or reports
Assist Colleague Services Manager in the day-to-day operations of areas such as, but not limited to, cafeteria, accommodation and other areas in the back-of-house (i.e. locker room, etc.)
Communicate any health or safety hazards to Colleague Services Manager and/or coordinate with other departments as necessary, to resolve issue
Ensure notice boards are updated with latest information and removes old posts accordingly
Conduct accommodation site induction to newly-assigned Colleagues
Assist with all Human Resources engagement related activities and initiatives
