Scope of Position

Fitness & Wellness Manager is responsible for, but not limited to, the overall membership programs, fitness & wellness colleagues, complimentary guest activities and private wellness programs. In addition, the Fitness & Wellness Manager is to maintain all operations aspects of all fitness & wellness facilities.

Responsibilities

  1. General:
  • It is part of your role to understand and disseminate/communicate all corporate and hotel policies and standard operating procedures to the colleagues.
  • MOHG Code of Conduct requires that all business activities and business decisions comply with the general law, and with all rules, regulations and other requirements.
  • It is part of your strategy to fully understand and support in all aspects the Mandarin Oriental, Downtown Dubai Human Resources Strategic Policy.
  • It is part of your role and your responsibility to fully support all learning and development activities.
    • On the Job trainers and trainings.
    • Group Training Technique trainers and trainings.
    • Update and maintain a complete Training Matrix for your department.
    • Update and maintain Job Description and Job Specification Matrices for your department.
  • Ensure the colleagues’ career path and development needs are being prioritised and documented in accordance with the MO Profile online system.
  • Ensure that all standards of LQE, MOQA and Forbes are followed consistently.
  • Hold monthly meetings with all colleagues to assure they have a forum to voice any concerns or challenges and share departmental and hotel information.
  • You shall take all reasonable steps to safeguard stored information, and not divulge or otherwise transfer any personal data concerning the guests, customers or colleagues, or any confidential information concerning the hotel unless with the appropriate authority.
  • Use of the hotel’s network, computers or internet access which is in the hotel’s view unreasonable or inappropriate, for example gambling, chatroom, or pornographic material, is a serious breach of hotel policy and grounds for summary dismissal.
  • Support and adhere to all policies & procedures relating to Safe, Sound and Sustainable at Mandarin Oriental.
  • Ensure compliance with the MOHG Social Media Policy, i.e. to be fully responsible for the content you publish on any social media platform, including your personal site.
  • Mandarin Oriental, Downtown has zero tolerance on all forms of harassment or discrimination, i.e. it is strictly forbidden to discriminate on the basis of gender, disability, including physical or medical condition, race, colour, religion, national origin, ancestry, citizenship, age, sexual orientation, marital status, or for any other reason.
  • Act as a hotel ambassador at all times.
  • To carry out any additional duties requested by management, related to hotel operational activities.
  1. Departmental:

Manager on Duty

  • Responsible for the operations of the entire Spa & Wellness including guest interactions.

Operations

  • Oversees the maintenance of the swimming pools, whirlpool, fitness centres, studio, pool & beach and kids club.
  • Assist in performing fitness assessments as and when necessary and personal programs for hotel guests and members.
  • Manage all the membership programs and make sure all required documentations are up to date.
  • Manages specific incentive programs for colleagues pertaining to Fitness and Wellness, to secure the identity of being the leader and role model in the spa & wellness industry.
  • Conduct fitness and wellness programs to hotel guests and members as and when is necessary.
  • To be the first point of contact for corporate groups.
  • Secure bookings, scheduling, itineraries – full administration duties for all Fitness & Wellness activities and complimentary wellness programs.

Meetings

  • On occasion it will be necessary to prepare a presentation for the monthly meeting for all spa colleagues in regard to Fitness & Wellness programs/development – future vision.
  • Monthly meetings with all Spa & Wellness colleagues. In the absence of the Spa Treatments Manager, a written agenda must be prepared and ensure written minutes are distributed to all colleagues and Human Resources following the meeting.
  • Attend all Operations meetings when the Director of Spa & Wellness is not on the property.

Finance

  • Review the monthly financial report and do an analysis for potential business opportunity.
  • Conduct monthly inventory for all operations supplies to ensure par stock is appropriate.
  • Assist Senior Director of Spa & Wellness with compilation of yearly budget.
  • Assist Senior Director of Spa & Wellness with monthly statistic reports.
  • Oversee monthly incentives for the colleagues.
  • Work with Director of Spa & Wellness and vendors to create exciting incentive programs for the colleagues.
  1. Customer Focus:
  • Handling guest complaints that occurs in the fitness & wellness areas.
  • Co-ordinating Lifestyle Consultation form with guests where unusual medical circumstances could interfere with the wellness programs chosen.
  1. Colleague Relations:
  • Monthly training plans to be sent to Learning & Development Manager.
  • Provide any coaching or program instructions that is within skills set and personal knowledge.
  • Responsible for the recruitment and selection of fitness instructor/attendant, lifeguard and pool attendant.
  • Responsible for timely documentation and the discipline of the colleagues in accordance with progressive discipline procedures outlined in Human Resources Strategic Policy.
  • Oversees colleagues’ schedules for all colleagues ensuring it meets the needs of the operations.
  1. Administrative Duties:

Engineering

 

  • Follow up on maintenance issues within the fitness & wellness areas in HOTSOS.
  • Conduct weekly walk through with assistant chief engineer.
  1. Additional Duties:

 Marketing

  • Responsible for the creation, management and growth of Fitness & Wellness programs for guests, members and corporate groups.
  • Works closely with the Spa Treatments Manager to integrate programs and promotions.
  • Create and present ideas for all in regard to fitness and wellness including e-marketing to the Marketing and Communications.
  • Represents The Spa at Mandarin Oriental, Downtown at networking events, fitness and wellness conventions and industry trade shows.   
  • Develop and manage corporate group events on-site or off-site in reference to health, fitness and wellness.
  • Co-ordinate appointments and full itinerary with group organizers for fitness and wellness group events.

System

  • Continue to update and revise Standard Operating Procedures (SOPs) for all Fitness & Wellness colleagues accordingly.
  • Oversee and continue to update the filing system accordingly

 

Skills & Qualifications

  • Graduated with Tertiary education, preferable in the field of sport/fitness management
  • Good knowledge on computer systems is a must
  • Minimum of 2 years’ experience in the same role
  • Previous experience working in a 5-star hotel environment is a must
  • Previous experience working in the Middle East region will be an advantage
  • Hotel pre-opening experience will be an advantage
  • Ability to create membership programmes
  • Ability to perform personal training sessions
  • Ability to understand guest needs and expectations and to deliver superior customer service with little input from others
  • Perform job with attention to details and the ability to organize and handle multiple tasks effectively
  • Clear communication; effective verbal and written communication skills in English
