Mandarin Oriental, Tokyo is looking for the Sales Manager for MICE.

The site offers spectacular views of the city skyline whilst providing access to stately banquet and conference facilities within the adjacent Mitsui Main Building, a Japanese cultural-heritage property.
1) Purpose of Position
• Under the general guidance and supervision of the Director of Commerce and Marketing / Director of Sales and within the limits of hotel policies and procedures, effectively execute sales activities to maximize business opportunities in the defined market.
• Responsible for generating targeted revenues for specific accounts and segments from existing and potential travel agencies, coordinating customer requirements with other departments to achieve maximum guest satisfaction for the hotel.

• Partial participation in preparation of rooms and banquet budget and marketing plan.
• Achieve annual individual Sales target for rooms and banquet revenue.
• Annual target for Group Shop Call score
3) Principal Accountabilities
• To be fully aware of the potential, buying decisions of all-key assigned accounts, competitive information on rates and volume to allow for specific strategic planning related to such accounts.
• To be constantly aware of MOTYO occupancy, average rate and position among the competitive set.
• Monitor assigned individual accounts’ monthly production and attend monthly/quarterly individual performance review.
• Responsible in developing business relationship with target market / accounts set under the territorial assignment.
• Responsible for maintaining accurate production statistics of all responsible agencies, DMCs and other 3rd party channels producing MICE business.
• Keeps close communication with Reservation Manager, Director of Revenue Management, and Director of Conference Service on any development of the confirmed groups and / or events / functions respectively.
• Fully understand the protocol in handling VIPs, Official Delegations and Royalties.
• To supply any competitor’s activity information and current market trends to the DOCM/DOS.
• To assist in the preparation of annual business plan.
4) Standard Tasks
Planning
• Actively participate in all scheduled hotel and departmental training activities.
• Seek and development of new potential accounts through: Daily Sales Call, Direct Enquiry Handling, Local / Overseas Sales Leads, and Sales Blitz follows up.
• Ensure the appropriate efforts are expended on the solicitation and development of: Active accounts, Prospect accounts, Suspect accounts and Lost accounts.
• Respond to all local enquiries within 6 hours and overseas enquiries within 24 hours.
• To peruse daily arrival and reservations’ report, to be fully aware of clients’ presence in the hotel and make contacts where required.
• Follow up with in-house meeting organisers, if appropriate, to solicit new business.
• To conduct site inspections for potential clients.
• Greet VIP guest or groups upon arrival and farewell them upon departure.
• Participate in familiarisation visits and entertainment as and when required.
• Distribute seasonal gifts to major supporters.
• Participate in domestic and/or overseas sales trip as and when required, complete all sales reports within 1 week of trip.
• Promote any packages and any promotions to all corporate accounts.
• To work with Global Sales Office in assigned territories to service all agency accounts locally and overseas or any accounts within the territorial scope.
• Promotes and produces leads to Global Sales Offices and sister hotels via MOBilize and other cross selling activities.
• Participate actively in Sales Blitz directed by DOCM/DOS.
• Attends all functions hosted by the hotel to promote sales.
• Perform any related duties and special projects assigned by the department head
• Entertain executives and secretaries of potential companies and in-house guest to maintain good client relationship and to ensure future business to hotel.
• Two in-house entertainments per week
• Maintains professional business confidentiality.
• Perform related duties and special projects as assigned.
• Attends daily morning Sales Briefing, weekly Sales Meeting and quarterly Agent account review meetings with DOCM/DOS
• Submit the following reports to DOCM/DOS:
o Weekly sales call plan
o Weekly Completed Activity & To Do’s detailed report
o Weekly review on the current tentative and prospect group bookings
o Weekly review on confirmed, tentative and cancelled bookings. (groups and banquet)
o Weekly review on confirmed, prospect and cancelled banquet
o Monthly expense report
Administration
• To effectively utilise the standard forms, letters and ensures that all such forms and letters are presented in a most professional manner.
• To maintain an effective account and booking management system in Delphi System.
• Competent with the technical knowledge of operating Rooms Sales and Sales software and implements the same on the job.
• Traces, activity and bookings are logged into Delphi daily and follow through.
• To assist with in coming telephone calls within the department.
• To ensure all client files are maintained professionally and accurately.
• To perform all duties and responsibilities in a timely and efficient manner in accordance with established Mandarin Oriental policies to achieve the overall objectives of the position.
• Ensure P & P are monitored and acted upon.
• Ensure operational compliance to legal regulations and other requirements.
Communication & Relationship
• To establish and maintain an effective working relationship within the department and with all other departments in the hotel.
• Establishes and maintains effective employee relations.
• Maintains the highest standards of professionalism, ethics and attitude towards all hotel guests, clients and associates.
• Identify and regularly review the classification levels of all your information with your department.
• Ensure that the information and information security equipment assets under your control are secured as effectively as practically possible to ensure the confidentiality, integrity and availability of the information assets.
• Authorize user access to information under your control and remove access when it is no longer required.
• Communicate access control requirements to Information Security management and the information users.
• Monitor Information Policy compliance within your scope of authority.
• Detect and report Information Security incidents to the Information Security Officer and respond to any incidents that are reported.
• Safeguard the security of the company's information and computing assets and comply with the implemented Information Security Policy and all practices and supporting procedures designed in accordance with the policy.
• Ensure accountability for your actions and recognize that any unauthorized deviation from the information security policy may result in disciplinary action including termination of employment and prosecution under the applicable Japanese law.
