About the Role

Mandarin Oriental, Muscat is seeking a highly organized and detail-oriented Sales Coordinator to support the day-to-day operations of the Sales Department. This position plays a key role in ensuring administrative efficiency, seamless coordination of sales activities, and professional communication with internal teams and external partners.

The Sales Coordinator provides comprehensive administrative and coordination support to the Director of Sales and the wider Sales team. The role contributes to the department’s success through accurate documentation, database management, preparation of sales materials, and effective organization of meetings, appointments, and client-related activities.

Key Responsibilities

  • Provide administrative and coordination support to the Director of Sales and Sales team
  • Coordinate and schedule sales meetings, appointments, and departmental activities
  • Prepare and organize sales documentation, including proposals, contracts, presentations, and reports
  • Maintain accurate sales databases, tracking systems, and client records
  • Assist in compiling sales reports, performance summaries, and follow-up documentation
  • Coordinate logistics for client visits, site inspections, and familiarization trips (FAMs)
  • Create, format, and update sales materials such as rate sheets, packages, and fact sheets
  • Prepare and communicate stop sales notices to relevant partners and stakeholders
  • Ensure accuracy, consistency, and professional presentation of all sales correspondence
  • Liaise with internal departments to support client and sales requirements
  • Support departmental events, training sessions, and onboarding activities
  • Monitor office supplies and sales collaterals
  • Ensure compliance with company policies, procedures, and brand standards

Requirements

  • Strong organizational and administrative skills
  • Excellent attention to detail and accuracy
  • Effective communication and interpersonal abilities
  • Ability to manage multiple tasks and deadlines
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Previous experience in sales coordination, administration, or hospitality preferred
