About the job

Based at Mandarin Oriental, Barcelona within the Purchasing Department, the Purchasing & Storage Clerk is responsible for supporting the purchasing and receiving operations of the hotel, ensuring that all goods delivered meet quality standards, are properly recorded, stored safely and distributed efficiently across departments.

The Purchasing & Storage Clerk reports to the Materials Manager / Purchasing Manager.

As Purchasing & Storage Clerk, you will be responsible for:

  • Receiving and inspecting all deliveries, ensuring quantities, quality and specifications match the approved purchase orders and delivery documentation.

  • Recording all incoming goods in receiving logs and internal systems, maintaining accurate and up-to-date documentation.

  • Ensuring all suppliers deliver goods within the agreed delivery windows and to the designated receiving area.

  • Monitoring delivery vehicles to ensure hygiene standards, temperature controls and compliance with food safety regulations.

  • Maintaining strict control of delivery notes, invoices and purchase documentation to support proper financial processing and inventory management.

  • Performing spot checks and weighing of products such as vegetables, meat, poultry, fish and dry goods to verify supplier accuracy.

  • Ensuring all food and beverage products are stored correctly following safety regulations, stock rotation (FIFO) and proper labelling.

  • Ensuring non-food items and chemicals are stored safely in accordance with legislation and internal procedures.

  • Managing dry store organization, restocking and cleanliness while maintaining correct par stock levels.

  • Preparing dry store orders for collection by departments and ensuring goods are distributed to the correct outlets and kitchens.

  • Maintaining cleanliness, order and safety in the goods receiving area, loading bay and storage areas at all times.

  • Monitoring fridge temperatures and maintaining temperature control records in compliance with food safety standards.

  • Supporting purchasing activities including raising purchase orders, processing invoices, delivery notes and credit notes when required.

  • Coordinating with chefs, departments and the purchasing team to ensure operational needs are met efficiently.

  • Ensuring full compliance with company SOPs, traceability procedures and inventory control processes.

  • Supporting and coordinating receiving assistants or runners when required to ensure efficient workflow in the receiving area.

  • Distributing parcels and deliveries to the appropriate departments across the hotel.

  • Attending relevant training programmes and supporting continuous improvement within the department.

  • Carrying out any additional reasonable duties requested by management.

  • Works well under pressure in a fast-paced environment.
  • Ability to work cohesively as part of a team and like to learn from multiculturalism.
  • Ability to focus attention on guest needs, always remaining calm and courteous.
  • We are looking for a person with good customer orientation.
  • The person who joins us must be committed and professional.
  • Minimum of 2 years in the luxury hotel
  • English language skill
