As "People & Culture Executive", you will be responsible for the following duties:

  • To Prepare colleague letter.
  • Promotion/Transfer
  • To salary Increase for new position.
  • To only Salary Increase without different job title.
  • To update employee personal details on HRWEB System, including address, bank details etc.
  • To take responsibility of P&C databases, such as application mails and other sources into People & Culture database.
  • To keep the absence reports and records, vacation forms.
  • To communicate it to the payroll after receiving approval from HODs.
  • To keep the personnel files up to date in software management program.
  • To take an active role at keeping the health coverage files up to date.
  • To keep the inventories, all P&C documents and files up to date and prepares documents for interviews.
  • To references: Respond to all reference requests for current colleagues, ex-colleagues and other employers in a timely manner (Administration/ References)

As "People & Culture Executive", we expect from you:

  • To compile payroll reports and ensure accuracy before month end submission to Finance Department.
  • To complete filing of documents on colleague file on a weekly basis
  • To assist P&C Recruitment with sending and chasing response to job offers.
  • To prepare contracts for joining colleagues and gather all necessary
  • To process purchase orders for P&C needs on Material Control system
  • To prepare new starter forms and Social Security enrollment
  • To prepare new starter ID cards, fan pins and name tags as required.
  • To prepare monthly birthday cards and collect management signatures ready for distribution.
  • To coordinate leaving gifts for colleagues/ Managers and long service awards.
  • To design posters, presentation for colleague events and general colleague meeting
  • To assist and organize colleague social events.
  • To assist People & Culture with ad hoc projects.
  • To conduct yearly audit to ensure all important documents are complete in employee’s file, such as passport copy, visa copy, signed contract, handbook and company policy acknowledgement.
  • To order flowers for colleagues in special occasions. Receipt needs to be printed and hand it over to Director of People & Culture.
  • To order business cards as required for office needs
  • To gather all necessary signatures on P&C forms as required
  • To carry out any other reasonable request as directed by your manager.
  • To organize in-hotel and out-of-hotel Trainings
  • To assist the Learning & Development Manager in the preparation of trainings
  • To motivate the team
  • To spread our vision, mission, core values, pillars throughout the hotel
  • To Assist the Learning & Development Manager to achieve the goal in LQA, Forbes and Trust You, FLHSS Assessments
  • To keep, fill and report training records on a regular basis
  • To provide trainings when necessary under the management of the L&D Manager.
  • To organise and record regular planned Fire, Health & Safety, First Aid and Food Hygiene training to ensure that all legislation and  Safe & Sound Guidelines is adhered to; as well as recorded and reviewed in conjunction with the Director of Facilities & Operational Safety where applicable
  • To produce and communicate a Learning & Development Calendar encompassing operative, supervisory and managerial Learning & Development activities
  • To carry out any other reasonable requests as requested by the L&D Manager
  • To keep records of interns and taking care of them.
