The Role

The Finance Administrative Assistant supports the Finance/Accounting Department by performing clerical, administrative, and basic accounting tasks. The role ensures proper documentation, accurate data entry, and smooth coordination between finance and other hotel departments.

 

Key Responsibilities:

1. Administrative Support

  • Provide general administrative assistance to the Finance team
  • Maintain proper filing of financial documents (physical and digital)
  • Prepare reports, memos, and correspondence as required
  • Schedule meetings and assist in departmental coordination

2. Data Entry & Record Keeping

  • Maintain accurate records of:
    • Invoices
    • Receipts
    • Purchase orders
    • Payment vouchers
  • Encode financial transactions into accounting systems
  • Ensure completeness and proper documentation

3. Accounts Support

  • Assist in Accounts Payable (AP):
    • Matching invoices with purchase orders and delivery receipts
    • Preparing payment documents
  • Assist in Accounts Receivable (AR):
    • Monitoring receivables
    • Preparing billing statements
  • Help reconcile minor discrepancies in records

4. Audit & Compliance Support

  • Prepare documents needed for:
    • Internal Audits
    • External Audits
  • Ensure files are complete and easily accessible
  • Assist in compliance with BIR and company policies

5. Coordination with Departments

  • Liaise with various hotel departments for:
    • Submission of financial documents
    • Expense reports
    • Billing requirements
  • Follow up on pending documents

6. Inventory & Purchasing Support (Hotel-Specific)

  • Assist in tracking purchases and inventory documentation
  • Help maintain records of stock movements (F&B and supplies)
  • Support cost control processes

7. Cash & Banking Assistance

  • Assist in preparing bank deposits
  • Record cash transactions
  • Help with basic bank reconciliation tasks

 

Qualifications

  • Bachelor’s degree in Accountancy, Finance, Business Administration or related course
