The Communications Coordinator EMEA supports the Regional Director of Marketing Communications with its activities as well as manage the tactical execution of marketing communications projects with emphasis in the EMEA region.


The Communications Coordinator EMEA will be responsible for the following duties:

  • Coordinate Marketing communications projects and increase operational efficiency
  • Ensure department compliance with established standard policies and procedures at Mandarin Oriental
  • Foster Best practices and collaboration between hotels and PR agencies in EMEA by sharing Hotel news and Agency mandates
  • Foster dynamic collaborations between EMEA and International marketing teams at Mandarin Oriental (CRM, Consumer Marketing, Digital, Social media…)
  • Arrange appointments and meetings for the RDoMC when required, whether with hotels, PR agencies (includes monthly calls) and media
  • Support Marketing Communications activities for existing and forthcoming Mandarin Oriental hotels in the EMEA region
  • Support RDoMC in driving brand awareness, recognition and visibility of Mandarin Oriental Hotel Group in the Europe, Middle East and Africa region, via media coverage, digital marketing and partnerships and CRM activity
  • Create and maintain a local media/influencer database for some countries within the EMEA region where Mandarin Oriental does not have PR support.
  • Arrange media/influencers bookings at Mandarin Oriental hotels, completing relevant forms and chasing confirmation and before arrival ensuring the bookings are correct and all the relevant colleagues are aware.
  • Assist with the coordination of press enquiries, events and interviews in conjunction with the RDoMC.
  • In conjunction with the RDoMC, assist in copywriting/editing of relevant press releases and relevant PR material, in English and French
  • Work closely with the appointed public relations consultancies in the EMEA region, ensuring annual targets are achieved.
  • Collect and circulate internally all EMEA PR agency and Hotel monthly reports, managing deadlines as appropriate
  • Assist RDoMC in preparing for PR analyses, re-pitches of PR agencies and PPA meeting presentations
  • Prepare, distribute and manage work orders, purchase requisitions and other relevant correspondence relating to the overall department
  • Coordinate photography activities with hotels when required
  • Support and cultivate the development of key relationships with media in EMEA and facilitate media awareness for Mandarin Oriental globally
  • Assist day-to-day on proactive media outreach and follow-up on media inquiries
  • Coordinate and execute the region’s Group media events
  • Ensure opening events and significant renovations in the region are successful in media coverage
  • Process consumer marketing and sponsorship requests
  • In conjunction with the RDoMC, research and develop new and existing relationships with appropriate regional luxury partners/brands for groupwide or regional property-level partnerships and events
  • Support RDoMC with the execution of events in the EMEA region with marketing partners and PR agencies as needed
  • Support RDoMC with regional efforts to target current and potential MOHG customers – with focus on driving “Fans of MO” customer engagement program
  • Act as regional support for Group Brand Identity department to ensure that corporate identity standards are adhered to at the property level, inclusive of collateral
  • Act as regional support between Group Consumer Marketing, E-Commerce and Social Media teams and hotels to ensure that corporate identity standards are adhered to
  • In conjunction with the RDoMC, support Global Advertising team in the brand’s annual plan
  • Assist the RDoMC in sourcing potential Fans for the brand in the respective region
  • Monitor PR agencies budgets and annual media events in the region
  • Monitor and report project expenses and process invoices with accounts payable
  • Assess requirements of proposed projects and events, communicating with media and agencies, internal resources, and external service providers in gathering information, estimating costs and finalizing details     

What we are looking for:

  • Minimum 2-year experience in marketing or related function at agency or internal marketing communications department. Ideally Bachelor’s degree in Marketing, PR, business management or related field
  • Excellent project management and organizational skills
  • Marketing communications experience in copywriting and PR
  • Excellent written and verbal communications skills (English and French)
  • Ability to prioritize and balance multiple projects simultaneously
  • Marketing communications experience in copywriting and PR
  • Result driven, a team player, trustworthy and responsible:
  • Strong MS Office (including Excel and Power Point) skills
